When an existing immigration CRM may fit
An existing product may be suitable when its standard case stages, document requests, applicant access and reporting match your operating process. Evaluate those functions using your own examples. Check the included plan and any limits on users, branches, storage, integrations or customization.
Custom development may be appropriate when the gaps are material and cannot be addressed economically through configuration. It introduces engineering and maintenance responsibilities, so compare both approaches over the expected life of the system.
What to evaluate in a demonstration
Enquiries and applicant records
Show how an enquiry is assigned, converted into an applicant record and connected to one or more cases. Check duplicate handling, communication history and who may view or change each record.
Documents and review stages
Ask how a requested file moves through upload, review, correction and sharing. Document checklists need an owner who keeps them appropriate for the agreed workflow. Software organization is separate from authenticating a document or making a professional immigration assessment.
Client access and status updates
A portal may allow applicants to upload files, see shared requests or respond to their counselor. Confirm which status updates are entered by staff and which come from an actual integration. Do not assume the CRM has automatic access to government systems.
Payments and communications
Check whether payment tracking, invoices, WhatsApp, email or SMS are included or require additional providers. Verify account ownership, API access, setup work, consent requirements and recurring usage charges before committing.

There is no universal percentage saving or launch-time reduction that applies to every consultancy. A product that needs extensive adaptation may require more implementation work than expected. Compare written proposals against the same workflows and data requirements.
Plan rollout before promising a date
- Agree the required workflows and identify product gaps.
- Confirm provider accounts, access and configuration needs.
- Import a sample of records and documents.
- Test roles, reporting, requests and failure handling.
- Train staff and agree the production cutover.
- Assign support, backup and change-management responsibilities.
The schedule depends on the selected product, data quality, approvals and staff availability. A trial should have defined tasks and evaluation criteria. Confirm whether an advertised trial is for a software product or for a development service.
Security and professional responsibilities
Review actual permissions, encrypted connections, document access, retention, backups and recovery arrangements. Ask for evidence behind any certification claim. An off-the-shelf label does not automatically make a deployment compliant with local obligations.
The CRM can help organize preparation and internal follow-up. Visa decisions, eligibility advice and government processing remain outside its control. AI suggestions and extracted information require review and a manual fallback.
